SV: Introduction in an OS-meeting

One more comment on this interesting topic.

Somehow I don't think there is one and only one best way to do the
introduction in an OS-meeting. I agree with everyone that it should be as
brief as possible but the context will suggest how "long" it can be.

Sometimes I have asked the sponsor to be as short as possible: "good
morning! thanks for coming....this is what we are here for..." but other
times I suggested that she/he takes up to 15, even 20 minutes to "set the
table" as we say in French. Providing some background, outlining the goal
with more data/information, sharing her/his personal expectations,
indicating right at the start her/his commitment to follow-up and take
action on the outcomes... In such circumstances, I have coached the person
to insure the message would still be short and as relevant as possible. So
far, I never observed signs of desinterest or boredom from the participants
and when the time for them to "finally" jump in they did with a level of
enthusiasm no any different than in other circumstances.

In mid-April, I will be opening space with a group of 165 people internal
and external partners of a "Regional Health Network" (Reseau de sante et de
services sociaux). The OS-meeting will be a follow-up to a Future Search we
did last December. The 72 FS participants are invited back plus some 90
newcomers. We are planning a 15 minutes intro by the Chairman of the Board
and the General Manager (president in the american health system) to present
the story to the newcomers. I believe they are entitled to that information
and that it won't curtail their energy to jump in, to the contrary.

Short and to the point is OK but everything is relative...

The minimum could be to ask the sponsor - what do you want with
this/these days? On the other hand I think, so far, I?ve always had the
sponsor say the first words of welcome and addressing the theme etc.

In organizations where people are not used to true openness I think the
role ot the sponsor can be very important to show the space is truly open.
At times I?ve invited the sponsor to another time express his/her support of
the process when the reports are on the wall - before the
reopening/actionplanning. Is this something you do - at times like that?

Although I haven?t found a good translation of the word induction but
"creating the environment" makes sense. Information is only part of it. So
how do you induce? I think this is an art which cannot be gained by "reading
the book"!
  Warmest regards
  Thomas
