[OSList] Review the invitation + latest technology for documentation of conversations + help?

Happy Holidays to you too.

In answer to your two questions:

1. Your invitation captures the spirit of what you are inviting. The words
seem to dance. My only suggestion would be that it include a theme, one
that stands out in words and in the layout, perhaps in the form of a
question. Something that pulls the participants to the future, a future
they want to see, that they care deeply about and want to contribute to:
passion and responsibility.

2. Second on the documentation and you wishing it to be very 2015... I have
not found any easy answers. Tried Google Doc, Hackpad, basic template in
word, typing and sending summary reports via email, or taking photos of
flip charts for short Open Space events. Nowadays so many different
software and types of computers including IPAds and Smartphones. For a
period as I experimented, I felt people including some of my clients missed
out.
And yet in spite of all this technology, there is something in me that
continues to be drawn to the basic template like the one that Michael
provided that Jo Toepfer used.
Two reasons: a concerted activity at the news room with computers laid out
on tables (or people use their own) and with signage that clearly
identifies this area as the newsroom. There is an energy of people typing
side by side and having the reports being printed on the spot going up on
the news wall as they are produced.  Secondly having a basic format that
can quickly be assembled and captured in a PDF file arriving in everyone's
inbox within 24 hours of the event (often faster) with photos and perhaps
video links too, is such a gift for participants. It becomes a living
document from which one can drive action, opening more space as needed.
As a participant, to be able to see all the topics and to read the
highlights of discussions you could not attend, to see who the participants
in each group were and to know who to connect with if you want to follow
up, there is so much value in this.
In this complex world, there are so many meetings and so often so little to
show for them notwithstanding that most are presentations, panels, keynotes
or people talking at each other.
The involvement and inclusion that happens in Open Space, the  breadth and
scope of the conversations  and the productivity evidenced in the output
and the ease with which it can all be captured by keeping it simple yet
robust,  seems the best way to have more and more people open space.
I've seen 10 year olds jump in at the newsroom and 70+ too when it's
organized this basic way which does not preclude adding bells and whistles
using new technology.
