Dear Lisa, dear Karen,
just to show how differently it is done:
Having the Book of Proceedings ready at the event
is definitely part of the design in these parts.
Participants get it to read it all before Action Planning.
It is not "bound" in the traditional sense but has an "Open Space
Binding",
that is, the pages are held together with a foldback clip (available
in various sizes which will hold up to 250 Pages)
so that Participants can rearrange the pages (which works only if
only one side of the sheets contain print),
or throw stuff out that they can do without, or add other things, or
can take out the contact list and have it next to the 
Book while they are reading it for easier reference.
And later, when the Book has done its job, you still have the
foldback clip to hang a towel on.

After the event, the sponsor will send out an invitation to the
follow up meeting, 
that letter may also have a summary of the action steps agreed on at
the event,
but the action steps we almost always also can hand out to
participants at the end of the event
(high speed copying machines on the premises are needed to do this
while the group is in the closing circle)
and  - merit of the foldback clip - participants can add the action
steps to their book easily.

We are beginning to experiment with a scanning and pdf system which
will allow us to send a CD
to everyone (or put it online) with a menu and the contact list
linked to the conveners of the individual reports
and other such gizmos.

But!
Great action has sprung from ost events that did not record anything!

And!
Before Action Planning I tell participants to put the book of
proceedings aside
and concentrate on what it is that they want to take action on.
Sure, this does happen on the background of what they did in the
first couple of days
but there is no "prioritizing" around the issues that they worked on.
Thats certainly one thing less to do and it works beautifully.

So, in essence, I keep wondering, after 120 times of having had Books
of Proceedings,
who is REALLY interested in it and WHY I and others are really so
attached to it.
