Client meetings (used to be: OST for program evaluation)

Dear Jennifer.
I usually facilitate a 6 hour pre-meeting before an OS-meeting. I use
frameworks and processes developed through The Genuine Contact(TM) program
which includes the work of many people. The pre-meeting is
processfacilitated (opening space for the potential of the group, but in a
more guided version than OST) and usually management and employee
representatives are in the group if it's in an organization - otherwise as
many of the sponsors - interestgroups as possible - I´ve had 2-20 persons
attending such a meeting.

In this meeting I normally do the following:
Look at the background/history/current situation regarding developmental and
emotional status (using the frameworks to dialogue around)
We work to clarify the purpose and what they actually want to achieve (my
experience is they often don´t know or at least don´t have the same picture
about this)
Who will be invited?
What is OST and what are the basics to get it working
Setting of the theme and working out givens
Design of the meeting
How will management keep the space open after the conference
Follow up/evaluation
Practicalities - who does what and when.
Closing circle

After this meeting, normally everything is in place, only to write the
invitation and wait to see who shows up.

My experience is that my sponsors find it was a well worth time-investment.
It also gives an opportunity to experience an open meeting format that
invites the participants to get into genuine contact with each other.

  Jennifer- I have never quite done what you are asking about -- but close.
Folk had been running a program for several years and were wondering what to
do better/different/not-at-all. Solution: OS with all who CARED (not JUST
the program designers!) on the theme "Issues and Opportunities for making X
the Best Program." Worked like a charm.

  And on the subject of client meetings. It all depends. New client? -- Long
time. Old client/OS experienced -- 5 min phone call with the particulars as
in time place, numbers, special considerations-- and a purpose/theme would
help. But not necessary.
